  1. Bookings
    • Bookings are limited to SIX delegate spaces per company unless by the prior agreement of ifasic VZW, and/or its Directors (hereafter: ifasic).
    • Ifasic reserves the right to refuse and/or cancel any booking(s) as deemed appropriate, subject to article 6 below.
    • All bookings are held in the name of the individual as opposed to the corporate name, regardless of who paid for, or to whom the booking was invoiced. All Substitutions, amendments and/or cancellations requests are subject to article 6 below.
  2. Prices
    • Delegate Rate: Prices are shown on the conference website, and may be subject to change at any time. Where applicable all prices shown include VAT.
    • Hotel Room Rate: Prices are shown on the conference website, and include breakfast, wifi and all applicable taxes.
    • Early Bird Rate: Bookings and payment in full must be received before the deadline date listed in the conference marketing material and/or on the website (www.ifasic.com).
  3. Hotel Rooms
    • 1. The two conference nights’ accommodation at the chosen ifasic 5* hotel is not included in the ticket price, this is an additional obligatory cost to the delegate.
    • During the conference: Where requested by the delegate as part of their booking, ifasic will arrange hotel accommodation for the delegate. Subject to article 2, article 4, article 5 and/or article 6 below.
    • Additional and/or room charges: Any and all additional and/or room charges incurred by the delegate are the responsibility of the delegate. The Hotel will require the delegate to provide a valid debit/credit card at the time of check in, and charges will be levied against this in accordance with the hotel’s own terms and conditions, copies of which are available from the hotel upon request at arrival. Subject article 5 below.
  4. Payments
    • All bookings must be accompanied by a valid debit/credit card.
    • All bookings (including extras) must be paid in full in order to guarantee registration. Once payment has been received, an email confirmation and a receipted invoice will be sent.
  5. Additional/Outstanding Charges
    • In the event of the delegate failing to pay in full and upon demand, any additional/outstanding charges due to ifasic, its agents, suppliers and/or the hotel, ifasic reserve the right to apply any additional/outstanding charges against the delegates debit/credit card held on record.
  6. Substitutions, Amendments and/or Cancellations
    1. All Substitutions, amendments and/or cancellations requests must be made in writing. Substitutions, amendments and/or cancellations to an existing booking can only be made by the individual shown in the booking (i.e. requests by partners, colleagues, and/or employers etc. cannot be considered), and are subject to the following:
      • Substitutions: Delegates may nominate a substitution or alternative person from within their organisation to attend up to 48 hours prior to the start of the event. If the nomination is accepted, a charge of €50 will be payable immediately. If the substitution is not acceptable the booking will be cancelled and a refund payable subject article 6.2 below.
      • Cancellation of booking/delegate registrations: Cancellation charges apply as follows:
        • 8 weeks or less prior to start date of the event: 100% of the charged delegate fee
    2. Cancellation of and/or lack of cancellation (no show) of any hotel accommodation whatsoever, including the main conference nights and the pre and/or post conference hotel nights: Cancellation charges apply as follows: 100% of the room charge.
  7. Access Requirements
    • Delegates should advise of any special access requirements at the time of registration.
  8. Registration Information
    • Registration information will be sent to registered delegates by email at least seven days prior to the event. Any delegate not receiving the registration information should Contact Us.
  9. Alterations to Programme – Cancellation/Postponement of Event
    • ifasic expressly reserves the right to vary, postpone or cancel a conference or any part thereof as they deem appropriate or necessary.
    • ifasic reserves the right to make alterations to the conference programme, dates, venue, speakers and/or timings as they deem appropriate or necessary.
    • In the unlikely event of the conference programme being cancelled by ifasic, a full refund of the ticket price tickets (excluding any hotel/room charges etc) will be made.
    • In the unlikely event of the conference programme being postponed, or the dates altered, delegates tickets (excluding any hotel/room charges etc) will be automatically transferred to the new date.
    • In any event, the organisers/ifasic’s liability shall be strictly limited to the ticket price (excluding any hotel/room charges). Under no circumstances will ifasic be liable for any additional costs, expenses, expenditure, damage or loss incurred beyond the ticket price.
  10. Views and/or Opinions
    • Any views and/or opinions expressed by the speakers are their own. Ifasic cannot accept liability for advice given, or views and/or opinions expressed by any speaker at the conference or in any material provided to delegates.
  11. Photography & Filming
    • For promotional purposes, there may be a professional photographer and video production taking place during the conference. In booking, you accept that your image may be used or reproduced as deemed appropriate by ifasic.
  12. Safety & Security
    • In the interests of safety and security delegates are required to follow the instructions given to them by the conference and hotel staff.
    • Delegates are issued with an identity card at check-in and are required to wear this at all times whilst in the public areas of the hotel or in its grounds.
    • Delegates should not leave any items unattended. ifasic and/or its suppliers, agents or the hotel cannot be held responsible for any damage or loss as a result of any items being left unattended.
  13. Data Protection
    • By submitting registration details, delegates agree to allow ifasic and companies associated with the conference to contact them regarding their services. Delegates who do not wish to receive such communications please Email Us. By opting to do so at the time of registration, the contact details of registered delegates will be placed on the attendee list which will be passed to sponsoring companies and to all attendees for them to see who is at the conference for the purpose of networking and meetings. Delegates who do not wish to be included on this list should not choose to elect to opt in at the time of registration. You will also find our Privacy and Cookie Policy here.
  14. Websites & Links
    • The conference and associated ifasic websites may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which ifasic takes no responsibility. Neither can responsibility be taken for contents of any website linking to this website.
  15. Damage
    • In the event of the delegate causing damage to any property of ifasic, its suppliers, agents, and/or the hotel, the delegate will be responsible for the cost of the relevant repair and/or replacement. The decision as to whether or not an item can be repaired lies solely with ifasic, its suppliers, agents, or the hotel. All charges in respect of the repair and/or replacement are payable upon demand. Subject article 5.
  16. Insurance
    • It is the responsibility of the delegate to arrange appropriate insurance cover in connection with their attendance at the conference. Ifasic cannot be held liable for any loss, liability or damage to personal property.

  18. Speakers
    • ifasic may use the speaker’s name and presentation materials for promoting delegate attendance at the conference.
    • Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising and commercialism.
    • ifasic may audio and/or video tape the speaker’s session and the recording may be reproduced and sold as part of the overall conference materials. This allows delegates to purchase audio/video copies of presentations that they may have been unable to attend.
    • ifasic may reproduce copies of the speaker’s presentation (e.g. PowerPoint slides or supporting hand-outs) on paper and/or electronically and these may be sold as part of the overall hand-out materials during the conference and after the event. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation, as these will be distributed to the conference delegates.

  19. Limit of Liability
    • To the extent permitted by law, neither ifasic nor its Directors, Executive Committee, speakers or sponsors shall be liable by reason of breach of contract, negligence or otherwise for any damage, injury, costs, direct or consequential losses to any objects whatsoever or to any persons whomsoever, including but not limited to those as a result of or in connection with the organisation of the conference, or caused by any representative or service provider engaged by ifasic, by any delegate, or by third party, including but not limited to damage, injury, costs, direct or consequential losses caused by error or omission in the conference material or presentation of a conference. In any event the liability is limited to the conference fee paid by the specific delegate. Consequential loss shall be deemed to include, but is not limited to any loss of profits or anticipated profits, damage to reputation or goodwill, loss of business or anticipated business, injuries, damages, costs, expenses incurred or payable to any third party or any other indirect or consequential losses.
  20. Law & Jurisdiction
    • A completed booking form will constitute a legally binding contract. This contract is subject to Belgian Law and any dispute arising out of or relating to this contract will be brought before the Antwerp courts which have exclusive jurisdiction.
